This guide walks you through the complete nutritionist workflow, from setting up your schedule to managing patients and conducting consultations.

Dashboard Overview

Your dashboard shows:
  • Appointments Today: Number of pending appointments for today
  • Appointments This Week: Week’s scheduled consultations
  • Next Appointment: Your upcoming consultation with patient details
  • Today’s Schedule: Complete agenda with appointment times
  • Upcoming Schedule: Next 4 weeks of appointments organized by week
Expired appointments (past their end time without completion) are automatically marked as “expired” and removed from your pending list.

Setting Up Your Schedule

Initial Schedule Configuration

Before accepting appointments, configure your availability:
  1. Navigate to Schedules from your dashboard
  2. You’ll see a weekly grid with time slots from 8:00 AM to 8:00 PM
  3. Click on time slots to mark your availability
  4. Select multiple consecutive slots to create availability blocks
  5. Click Save Schedule when finished

Schedule Details

  • Each appointment slot is 45 minutes (standard consultation duration)
  • You can set availability for any day of the week
  • Multiple time blocks can be created for the same day (e.g., morning and afternoon sessions)
  • Time slots are displayed in 45-minute intervals

Editing Your Schedule

When you save a new schedule, all previous schedule settings are deleted and replaced with the new configuration.
To modify your schedule:
  1. Go to Schedules
  2. Select new availability slots
  3. Previously selected slots are shown for reference
  4. Click Save Schedule
  5. Confirm the changes

Schedule Considerations

  • Existing pending appointments are not affected by schedule changes
  • Only future appointment slots are impacted
  • Patients cannot book slots that conflict with existing appointments
  • Your schedule is automatically shown to patients in their timezone

Managing Patients

Patient List

Access your patient roster:
  1. Click Patients in the navigation
  2. View all patients who have had appointments with you
  3. Search by name or email
  4. Filter by appointment status

Patient Details

Click any patient to view:
  • Personal Information: Name, email, age, gender
  • Contact Details: Phone and emergency contact
  • Appointment History: All past and upcoming appointments
  • Statistics:
    • Total appointments
    • Completed sessions
    • Cancelled appointments
    • Pending appointments
  • Next Appointment: Upcoming consultation details
  • Last Attention: Most recent clinical record

Viewing Patient Data

Access comprehensive patient information:
  1. Open patient profile
  2. Click View Patient Data
  3. Review:
    • Personal demographics
    • Medical history
    • Previous measurements
    • Progress photos (if available)

Patient History

Track patient progress over time:
  1. Open patient profile
  2. Click View History
  3. See interactive charts showing:
    • Weight progression
    • BMI changes
    • Body fat percentage
    • Circumference measurements (waist, hip, arms, legs)
    • Metabolic rates (TMB, TDEE)
    • Body ratios (WHR, WHT)
    • Target calories over time
Use the history charts during consultations to show patients their progress visually.

Appointment Management

Viewing Your Appointments

Access all appointments:
  1. Click Appointments in navigation
  2. View appointments with filters:
    • All: Every appointment regardless of status
    • Pending: Upcoming scheduled appointments
    • Completed: Finished consultations with records
    • Cancelled: Cancelled by you or patient
    • Expired: Past appointments not completed
  3. Search by patient name
  4. Filter by date range

Creating Appointments for Patients

You can schedule appointments on behalf of patients:
  1. Click Assign Appointment
  2. Select patient from dropdown (searchable)
  3. System shows patient information and checks:
    • Patient must not have existing pending appointments
    • Patient must be clinically eligible (active account)
  4. Select available date and time from calendar
  5. Choose appointment type:
    • First Visit (primera_vez): Initial consultation
    • Follow-up (seguimiento): Regular follow-up session
    • Control (control): Check-up or monitoring session
  6. Enter consultation reason (optional)
  7. Add internal notes (optional)
  8. Set price (defaults to your consultation rate)
  9. Click Create Appointment
Both you and the patient receive email confirmations.

Appointment Calendar View

The calendar displays:
  • 4 weeks of availability starting from current week
  • Only days with available time slots
  • Slots marked as unavailable if already booked
  • Time displayed in 12-hour format (e.g., 9:00 AM)

Appointment Details

Click any appointment to view:
  • Patient information and contact
  • Scheduled date and time
  • Appointment type and reason
  • Price
  • Status (pending, completed, etc.)
  • Clinical notes (if completed)
  • Medical measurements (if recorded)

Rescheduling Appointments

To reschedule a pending appointment:
  1. Open the appointment details
  2. Click Reschedule Appointment
  3. Select new date and time from available slots
  4. Optionally add reason for rescheduling
  5. Click Confirm Reschedule
The patient receives an automatic notification with:
  • Original appointment time
  • New appointment time
  • Reason for change (if provided)
Only pending appointments can be rescheduled. Completed, cancelled, or expired appointments cannot be modified.

Cancelling Appointments

To cancel an appointment:
  1. Open the appointment details
  2. Click Cancel Appointment
  3. Confirm the cancellation
Automatic notifications are sent:
  • You receive immediate confirmation
  • Patient receives notification (with 20-second delay for development environments)
Only pending appointments can be cancelled. Consider rescheduling instead if possible.

Conducting Consultations

Starting a Consultation

  1. From dashboard or appointment list, click on the appointment
  2. Click Start Attention button
  3. You’ll be taken to the clinical data entry form

Recording Clinical Data

During the consultation, record: Basic Measurements:
  • Weight (kg)
  • Height (cm)
  • BMI (auto-calculated)
Circumference Measurements:
  • Waist (cm)
  • Hip (cm)
  • Neck (cm)
  • Wrist (cm)
  • Arm contracted (cm)
  • Arm relaxed (cm)
  • Thigh (cm)
  • Calf (cm)
Calculated Metrics:
  • Body fat percentage
  • TMB (Basal Metabolic Rate)
  • TDEE (Total Daily Energy Expenditure)
  • WHR (Waist-to-Hip Ratio)
  • WHT (Waist-to-Height Ratio)
  • Target calories
Clinical Information:
  • Medical history notes
  • Current symptoms or concerns
  • Dietary habits
  • Physical activity level
  • Sleep patterns
  • Goals and objectives
Nutrition Plan:
  • Meal recommendations
  • Portion guidelines

Saving Clinical Records

  1. Fill in all required fields
  2. Review data for accuracy
  3. Click Save Attention
  4. Appointment automatically changes to “completed” status

Editing Clinical Records

If you need to modify a record:
  1. Open the completed appointment
  2. Click Edit Attention
  3. Update the information
  4. Click Update to save changes
Save records immediately after consultation to ensure data accuracy and patient safety.

Generating PDF Reports

Create professional reports for patients:
  1. Open completed appointment
  2. Click Download PDF or View PDF
  3. PDF includes:
    • Patient information
    • Consultation date
    • All measurements and metrics
    • Clinical notes
    • Nutrition plan
    • Your signature and credentials

Schedule Conflicts

The system automatically prevents:
  • Double-booking: Cannot book two appointments at same time
  • Past bookings: Cannot schedule appointments in the past
  • Overlapping slots: 45-minute slots cannot overlap

Resolving Conflicts

If a patient reports a conflict:
  1. Check your appointment list for the time slot
  2. Verify the patient’s appointment status
  3. Reschedule one appointment if needed
  4. Contact the patient to confirm new time

Best Practices

Schedule Management

  • Update your schedule at least one week in advance
  • Block out vacation time immediately
  • Keep consistent weekly hours for patient convenience
  • Leave buffer time between appointments for notes

Patient Communication

  • Review patient history before appointments
  • Send reminders for upcoming consultations
  • Follow up on missed appointments
  • Document all communication in notes

Clinical Records

  • Complete records immediately after consultation
  • Be thorough with measurements and observations
  • Set clear, measurable goals with patients
  • Document progress and setbacks objectively

Time Management

  • Start appointments on time
  • Keep consultations within 45-minute window
  • Schedule administrative tasks between appointments
  • Review next day’s appointments each evening
