What is a Workspace?

A workspace is your dedicated container for organizing related knowledge, projects, or topics in ThinkEx. Think of it as a digital canvas where you can arrange notes, PDFs, flashcards, videos, and other content in a visual layout that makes sense to you. Each workspace operates independently, allowing you to keep different projects, subjects, or areas of study separate and organized.

Personal Organization

Every workspace belongs to you and provides:
  • Custom naming - Give your workspace a descriptive name that reflects its purpose
  • Visual identity - Choose an icon and color to make workspaces instantly recognizable
  • Flexible descriptions - Add context about what the workspace contains
  • Custom ordering - Arrange workspaces in your preferred sequence
Use descriptive names like “CS 101 - Spring 2026” or “Marketing Campaign Ideas” to quickly identify workspaces at a glance.

Workspace Templates

When creating a new workspace, you can start from:
  • Blank - An empty canvas to build from scratch
  • Getting Started - Pre-populated with sample content to help you learn ThinkEx features

Collaboration

Workspaces support real-time collaboration:
  • Invite collaborators by email with editor or viewer permissions
  • Share links that anyone can use to join (with expiration options)
  • See who’s viewing the workspace alongside you
  • Live updates when others make changes
Collaborators can see all changes in real-time, making ThinkEx perfect for group projects, study sessions, or team brainstorming.

Workspace Structure

Items and Folders

Within each workspace, you can:
  • Create different types of content cards (notes, PDFs, flashcards, etc.)
  • Organize items into folders for better structure
  • Arrange items visually on the canvas using drag-and-drop
  • Resize cards to emphasize important content

Persistence and Syncing

Your workspace data is:
  • Automatically saved as you work
  • Synced across devices - access from anywhere
  • Version tracked using event sourcing for reliability
  • Backed up with snapshots to ensure no data loss
ThinkEx uses an event-sourcing architecture, which means every change to your workspace is recorded. This enables features like undo/redo and ensures your work is never lost.

Managing Workspaces

Creating a Workspace

  1. Click the “New Workspace” button in the sidebar
  2. Choose a template (blank or getting started)
  3. Give it a name and customize the icon/color
  4. Start adding content

Accessing Workspaces

Workspaces can be accessed:
  • By name from the sidebar navigation
  • By URL using the workspace slug (e.g., /workspace/my-project)
  • Recent workspaces appear at the top of your list

Workspace Settings

Customize your workspace:
  • Name and description - Update at any time
  • Icon and color - Visual identity
  • Slug - URL-friendly identifier
  • Privacy - Control who can access the workspace

Best Practices

Use Descriptive Names

Name workspaces clearly to reflect their content or purpose, making them easy to find later.
