Tasks

Tasks are the building blocks of work in Hive. Each task represents a specific piece of work that can be assigned, tracked, and completed by team members.

Creating a New Task

You can create tasks from two locations:

From the Tasks Screen

  1. Navigate to Tareas (Tasks) in the sidebar
  2. Click the Nueva Tarea button
  3. Fill in the task details
  4. Click Crear Tarea to save

From the Projects Screen

Tasks created in the Projects view are automatically associated with the project column where you create them.
Create tasks directly in project columns to automatically link them to the right project.

Task Fields

When creating or editing a task, you can set:

Required Fields

  • Title: Clear, descriptive name for the task (required)

Optional Fields

  • Description: Detailed information about what needs to be done
  • Priority: Low, Medium, High, or Urgent
  • Due Date: When the task should be completed
  • Project: Which project this task belongs to
  • Assignees: Team members responsible for the task (multiple allowed)
  • Tags/Labels: Categorize tasks with colored labels
  • Progress: Percentage completion (0-100%)

Priority Levels

Urgent - Requires immediate attentionHigh - Important and time-sensitiveMedium - Normal priorityLow - Can be done when time allows

Task Status

No iniciada - Not yet startedEn progreso - Currently being worked onCompletada - Finished

Assigning Tasks to Team Members

Adding Assignees

  1. Open the task modal by clicking on any task card
  2. In the Asignar a section, select team members from the dropdown
  3. Click the Add button to assign them to the task
  4. Multiple team members can be assigned to a single task

Removing Assignees

To remove a team member from a task:
  • Click on their avatar/photo in the task modal
  • The assignee will be removed immediately
Assign multiple people to collaborative tasks, but designate a primary owner to avoid confusion about accountability.

Setting Task Priority

Priority helps team members understand what to work on first:
  • Baja (Low): Background tasks, nice-to-haves
  • Media (Medium): Standard work items
  • Alta (High): Important tasks with deadlines
  • Urgente (Urgent): Critical issues requiring immediate attention
Priority badges appear on task cards with color coding:
  • 🟢 Low - Green
  • 🟡 Medium - Yellow
  • 🟠 High - Orange
  • 🔴 Urgent - Red

Managing Due Dates

Setting Due Dates

  1. Click the date picker in the task modal
  2. Select the deadline date
  3. The system automatically calculates remaining days

Date Indicators

Tasks display:
  • Days remaining until the due date
  • Overdue warnings for tasks past their deadline
  • Date formatting in MM/DD format for clarity
Overdue tasks may display in red or with warning indicators to help you prioritize catching up.

Task Status Management

Status is automatically updated based on progress:
  • 0%: No iniciada (Not Started)
  • 1-99%: En progreso (In Progress)
  • 100%: Completada (Completed)
You can manually adjust progress using the slider in the task modal.

Using Tags and Labels

Adding Tags to Tasks

  1. Open the task modal
  2. In the Etiquetas section, select from existing tags
  3. Click Agregar to apply the tag
  4. Multiple tags can be added to a single task

Creating New Tags

Administrators can create new tags from the Dashboard:
  1. Go to DashboardConfiguración de Etiquetas
  2. Click Crear Etiqueta
  3. Set name, color, and description
  4. New tags become available for all tasks
Use consistent tag naming conventions like “Frontend”, “Backend”, “Bug”, “Feature” to make filtering easier.

Filtering and Searching Tasks

The Tasks screen provides powerful filtering options: Search by:
  • Task title
  • Description content
  • Tag names
  • Project names

Filter by Project

Show only tasks from a specific project using the project dropdown.

Filter by Status

Filter to see:
  • All tasks
  • Only not started tasks
  • Only in-progress tasks
  • Only completed tasks

Sorting Options

Sort tasks by:
  • Más nuevas: Newest first (default)
  • Más antiguas: Oldest first
  • Vencen antes: Due date ascending
  • Vencen después: Due date descending
  • Mayor progreso: Highest completion percentage
  • Menor progreso: Lowest completion percentage
  • Mayor prioridad: Urgent → High → Medium → Low
  • Menor prioridad: Low → Medium → High → Urgent
Combine filters to find exactly what you need. For example, filter by “En progreso” status and “Vencen antes” sorting to see your most urgent in-progress work.

Editing Tasks

Edit Mode

  1. Click on any task card to open the task modal
  2. Click the Editar button to enter edit mode
  3. All fields become editable
  4. Make your changes
  5. Changes save automatically or click Actualizar as needed

Quick Progress Updates

Without entering full edit mode:
  1. Open the task modal
  2. Use the progress slider to update completion percentage
  3. Click Actualizar Progreso to save

Deleting Tasks

Deleting a task is permanent and cannot be undone.
To delete a task:
  1. Open the task modal
  2. Scroll to the Acciones section
  3. Click Eliminar Tarea (red button)
  4. Confirm deletion in the dialog

Task Grid View

The Tasks screen displays tasks in a responsive grid:
  • Each card shows key information at a glance
  • Click any card to view full details
  • Cards update in real-time when changes are made
  • Color-coded priority badges for quick scanning
  • Avatar indicators show assigned team members

Real-Time Collaboration

Hive uses real-time synchronization:
  • Changes appear instantly for all users
  • Subtle animations indicate remote updates
  • Toast notifications alert you to changes
  • Conflict-free collaboration on the same tasks
You’ll see a brief highlight animation when another user updates a task you’re viewing.

Best Practices

Include enough detail that someone else could pick up the task and understand what needs to be done. Include links, requirements, and acceptance criteria when relevant.
Break large work items into smaller, manageable tasks (1-3 days of work each). This makes progress tracking more accurate and provides more frequent wins for the team.
Update progress at least daily for active tasks. This helps managers understand project status without constantly asking for updates.
Completed tasks remain in the system for historical tracking. Use the status filter to hide them from your daily view while keeping the record intact.
Task dependencies are not currently built into the UI. Use task descriptions to note dependencies, or coordinate due dates to reflect the necessary sequence.
