After generating handoff notes, you can edit them to add context, clarify information, or customize for your specific workflow. This guide covers all editing and saving functionality.

Viewing Generated Notes

Once handoff notes are generated, they appear in the right panel of the patient detail view.

Formatted Display

Notes are displayed in an easy-to-read format:

Clear Structure

Sections are visually separated with headers and spacing

Readable Typography

Proper line spacing, font sizes, and contrast for easy scanning

Preserved Formatting

Bullet points, lists, and sections maintain their structure

Timestamps

Last update timestamp displayed in the header

Note Header Actions

The header bar above the notes includes several action buttons:
Icon: Pencil (Edit3)Switches to edit mode, converting the formatted display into an editable text area.
Click “Edit Notes” to modify any part of the generated content.

Editing Handoff Notes

Edit mode allows you to customize the generated notes to fit your needs.

    Example additions:
    Family Involvement: Daughter (Jane) is primary contact,
    calls daily around 7 PM, prefers updates via phone.
    
    Patient Preferences: Prefers morning medications with orange
    juice, dislikes being woken before 6 AM.
    
    Expand on automated content with context:
    • Explain unusual vital sign readings
    • Provide rationale for treatment decisions
    • Clarify medication changes
    • Note expected vs. unexpected findings
    Example clarifications:
    BP: Currently 158/92 (elevated from baseline 130/80).
    Patient admitted running out of home BP meds. Started on
    increased dose today, monitor response.
    
    Adjust structure to match your workflow:
    • Reorder sections for logical flow
    • Group related information together
    • Move urgent items to top
    • Add section headers
    While the AI generates SBAR format, you can reorganize as needed for your facility’s standards.
    Delete unnecessary or repetitive information:
    • Remove outdated information
    • Eliminate duplicate details
    • Trim verbose descriptions
    • Focus on what’s actionable
    Highlight critical information:
    • Add ALERT: or CRITICAL: prefixes
    • Use capital letters for emphasis
    • Add *** markers for urgent items
    • Repeat critical allergies or precautions
    Example emphasis:
    *** CRITICAL: Patient is a FALL RISK - requires

    Be Concise

    Keep notes focused on essential handoff information. Avoid lengthy narratives.

    Use Clear Language

    Avoid jargon or abbreviations that might be unclear to the receiving nurse.

    Prioritize Safety

    Ensure critical safety information (allergies, fall risk, code status) is prominent.

    Include Context

    Add “why” to the “what” - explain reasoning for care decisions.

    Check Accuracy

    Verify all times, dosages, and medical details before saving.

    Think Ahead

    Anticipate questions the next nurse might have and address them.

    You have two options when finished editing:

    Save Changes
    1. Review your edits for accuracy
    2. Click “Save Changes” button
    3. Loading spinner appears with “Saving…” text
    4. Success message confirms save: “Handoff notes saved successfully!”
    5. Notes return to formatted display
    6. Edit button becomes available again
    Save Process:
    • Changes are saved to the database immediately
    • All users can see updated notes
    • Timestamp updates to current time
    • Previous version retained in audit log
    Saved notes are immediately available to all nurses viewing this patient’s record.
    Cancel Changes
    1. Click “Cancel” button
    2. All edits since entering edit mode are discarded
    3. Notes revert to last saved version
    4. Returns to formatted display
    There is no “Are you sure?” confirmation. Clicking Cancel immediately discards all edits.
    When to Cancel:
    • Made edits by mistake
    • Realized you’re viewing wrong patient
    • Want to start over with fresh AI generation
    • System is unresponsive and you want to exit

    Auto-Save Behavior

    The system includes automatic saving in specific scenarios:

    When Auto-Save Occurs

    Newly generated notes are automatically saved without requiring manual save action

    After Image Integration

    Notes regenerated with image analysis are auto-saved when complete
    What is NOT Auto-Saved:
    • Manual edits in edit mode
    • Partial edits while still typing
    • Draft changes before clicking Save
    You must click “Save Changes” to save manual edits. The system will not save in-progress edits automatically.

    After any save (manual or automatic), you’ll see:

    The copy function allows you to use generated notes in other systems.

  • Handling Errors

    Understand what happens when things go wrong:

    Save Errors

    Causes:
    • Network connectivity issue
    • Database temporarily unavailable
    • Session expired
    • Insufficient permissions
    Display: Red error banner with alert icon and error messageSolutions:
    1. Check network connection
    2. Verify you’re still logged in
    3. Wait 30 seconds and click Save again
    4. Copy notes to clipboard as backup
    5. Contact IT if issue persists
    Your edits remain in the text area even after an error, so you won’t lose your work.
    Causes:
    • Patient record was deleted or merged
    • Database synchronization issue
    • Corrupted patient identifier
    Solutions:
    1. Return to patient list
    2. Locate patient again
    3. Re-enter patient detail view
    4. Try saving again
    5. Report to IT if patient cannot be found
    Causes:
    • Been logged in too long without activity
    • Security timeout reached
    • Concurrent login from another device
    Solutions:
    1. Copy notes to clipboard immediately
    2. Log in again
    3. Navigate back to patient
    4. Paste notes into edit mode
    5. Save again

    Prevention Strategies

    Save Frequently

    Don’t wait until you’ve made extensive edits. Save after each significant change.

    Copy Before Saving

    Use Copy button before Save as a backup in case save fails.

    Check Connection

    Ensure stable network connection before entering edit mode.

    Stay Logged In

    Periodically interact with the system to prevent session timeout.

    Working with Multiple Patients

    When creating handoff notes for multiple patients:

    Timestamp and Audit Trail

    Every save creates a record for accountability:

    Audit Logging

    The system maintains audit logs recording:
    • When notes were generated

    • User who performed each action
    • Previous versions of notes
    Audit logs ensure accountability and allow recovery of previous note versions if needed. Contact your administrator to access audit history.

    Keyboard shortcut support varies by browser and operating system. The on-screen buttons always work reliably.

    Best Practices Summary

    • Review generated notes thoroughly first
    • Identify what needs to be added or changed
    • Verify all patient data is current
    • Check that tasks are marked correctly
    • Keep notes concise and relevant
    • Focus on critical safety information
    • Add context the AI couldn’t capture
    • Maintain clear, professional language
    • Structure for easy scanning
    • Proofread for accuracy
    • Verify all times and dosages
    • Ensure critical alerts are prominent
    • Save changes promptly
    • Confirm success message appears
    • Review all patient notes one final time
    • Update any changes from last hour
    • Ensure outstanding tasks are current
    • Copy notes if needed for verbal handoff
    • Confirm all notes are saved

    Troubleshooting Common Issues

    Symptoms: Click Save but notes don’t updateCheck:
    1. Is error message displayed?
    2. Is network connection stable?
    3. Are you still logged in?
    4. Is Save button showing “Saving…”?
    Try:
    • Copy notes to clipboard as backup
    • Wait for any loading to complete
    • Try Save button again
    • Refresh page and check if notes saved
    • Log out and back in
    Symptoms: Click Copy but nothing happens or paste doesn’t workCauses:
    • Browser clipboard permissions denied
    • Browser security restrictions
    • Extensions blocking clipboard access
    Solutions:
    1. Check browser clipboard permissions
    2. Try different browser
    3. Manually select all text and copy (Ctrl/Cmd+C)
    4. Disable conflicting browser extensions
    Issue: Accidentally clicked Cancel and lost extensive editsPrevention:
    • Save frequently during long editing sessions
    • Copy notes to clipboard before canceling if unsure
    • Be careful where you click - Cancel is near Save
    Recovery: Unfortunately, there’s no undo for canceled edits. You’ll need to:
    1. Re-enter edit mode
    2. Make edits again
    3. Or regenerate notes and re-customize
    Symptoms: Notes don’t reflect recent patient changesCauses:
    • Viewing cached version
    • Notes haven’t been regenerated
    • Database not yet updated
    Solutions:
    1. Regenerate notes to pull latest data
    2. Refresh browser page
    3. Check timestamp to see when notes were last updated
    4. Manually edit to add recent changes
