My AskAI makes it easy to bring your whole team into the dashboard. Whether you want a colleague to review conversation insights, a content manager to update your knowledge base, or a senior stakeholder to have full administrative control, you can set the right level of access for each person. Team members are added as seats — each additional seat grants a person their own login to your My AskAI account.
Team access requires an active paid plan. Each invited team member counts as a seat. Pro and Enterprise plans include unlimited seats at no extra charge.

Roles and Permissions

My AskAI has three access levels you can assign to team members:

Use Insights Only for stakeholders, analysts, or customer success managers who need visibility into conversation data but shouldn’t change agent configuration. Use Admin sparingly — only for people who need to manage billing or team access.

Inviting a Team Member

Go to Account Settings

Open Account Settings from your My AskAI dashboard.

Add the Team Member's Email

Enter the new team member’s email address in the invite field and click Add.

Set Their Access Level

Choose whether they should have:
  • Insights only access (view-only, no agent configuration)
  • Full access (can manage agent, content, and channels — but not Account Settings)
  • Admin (full access including Account Settings, billing, and team management)

Copy and Send the Invite

Click “Copy invite info” and paste it into an email or message to send to the new team member. My AskAI sends the invite details this way so the message comes from a trusted sender rather than an unfamiliar email address.

Team Member Accepts the Invite

When the team member clicks the link in your message, they will be prompted to create an account and gain access to the dashboard.
Invited team members cannot sign in with Google. They must use the magic-link (email) login method.

Removing a Team Member

To remove a team member’s access, go to Account Settings, find the team member in the list, and remove them. Their access will be revoked immediately.

Do I Need a Seat for Every Team Member?

No. You only need a seat for people who need to log in to the dashboard — for example, to view insights, manage content, or configure channels. You do not need to match the number of seats you have in other tools like Zendesk, Intercom, or HubSpot. If your team only needs to receive insight notification emails, they can be included without needing a full seat.

Sharing the Agent with Your Team (Without a Seat)

If you just want to share the AI agent for internal testing — without giving someone dashboard access — you can send them a direct link:
  1. Go to your Dashboard → Channels
  2. Copy the share page link
  3. Send it to your team members
They can interact with the agent directly without needing a My AskAI account.

Managing Access Across Multiple Agents (Multibrand)

If your account uses Multibrand to run multiple AI agents for different brands, products, or regions, team members with full access or admin roles can see and manage all agents within the account. Access is managed at the account level, not per individual agent.
